Why a channel research practice teaches writing

The instruments on this site measure whether a line actually gets sold and whether the people carrying it can sell and support it. Both of those run through documents. The report that justifies a repair, the recommendation that moves a budget, the quote that wins or loses on one sentence about scope. A specialist who cannot write the document is a specialist whose judgment never leaves the building, which is a capability problem before it is a writing problem. The Specialist Health Index measures that capability. This is one of the things you can do about it.

Who it is for

Service technicians, inside sales staff, service writers and application engineers, and the shop or branch manager who signs what they send. It assumes you already know the equipment. Nothing here teaches you the work. It teaches you to write the document the work produces.

It is not a business writing course, not a grammar course, and not a course in writing for publication. Every exercise is a document somebody in a shop or a branch sends this week.

What you get for 395 dollars

  • A reader tested portfolio. 3 documents you actually sent, each rewritten, checked number by number against the nameplate, the readings and the quote, then handed to the person it was written for. They answer 3 questions: what happened, what are you asking me to do, and by when. It is scored on whether they understood, not on whether they agreed.
  • My review of your portfolio. I read it against the course rubric and send notes back. If a line falls short, you revise it.
  • The course kit, 19 files. A one page guide for your desk, a one page diagram for each of the 4 document types, Word templates for each one, a careful words checklist, a practice teardown report and the check log.
  • A review skill for Claude. Paste in any document and get a verdict, the reader test answered from what is on the page, and the fixes to make first. If you do not use Claude, the one page guides do the same job by hand.
  • A voice file and a team style sheet, so AI drafts sound like you and your shop instead of like nobody in particular.
  • A Certificate of Completion from the Tolbert School when you finish every lesson and pass the final.

35 short lessons of 5 to 20 minutes, in 8 modules. Most end with a 5 question check you need 80 percent to pass, with as many retakes as you like. A 20 question pre-test at the start and the same 20 at the end show you what changed.

The eight modules

  • 1. Who reads it and what they do next. Name the reader, put the bottom line first, and decide how much detail that reader actually needs.
  • 2. Plain language, bad news and your voice. One name per part, numbers and units that survive a reread, captions that carry the photo, and bad news delivered straight. Ends with a voice file you keep.
  • 3. The teardown and failure report. One page carrying what happened, why, what it costs and what comes next, with cause stated without blame and a stated level of certainty.
  • 4. The field and shop reader. Found, done, left to do. Unsafe and temporary conditions go first rather than in a closing paragraph.
  • 5. The recommendation. The decision first, 2 or 3 options behind it, and an ask that names an owner and a date.
  • 6. The quote cover letter. Scope, exclusions and assumptions written down, so the number is read against what it covers. Lead time and terms early, not buried.
  • 7. Careful words. Fact, finding and opinion kept apart. Must, should and may used on purpose. The words that commit the company, and when to get a review.
  • 8. Check, protect and test. A check log you run before sending, what customer data can and cannot go into an AI tool, and the reader test.

Four of the modules end in a draft it, check it lesson, so the portfolio is built as the course runs rather than assembled at the end.

On AI

The title says with or without AI on purpose. A drafting tool will hand you fluent sentences, and fluent sentences are the easiest place in the world to hide a claim you cannot support. Module 7 is the careful words pass a draft has to survive no matter who or what wrote it, and Module 8 covers what customer data can and cannot go into a tool that keeps what you paste into it.

Who teaches it

Carl Lee Tolbert has spent 30 years in plants and industrial distribution on drives, motors and reliability, writing the same service reports and quotes this course is about. He started as a Navy gas turbine electrical technician, which is where a person learns how a note reads at two in the morning on a running plant. He came up through the trade to vice president of engineering, and he sits today inside a motor, gearbox and drive repair business as director of marketing and senior application engineer, where teardown findings and repair quotes are daily work rather than case studies. He is also faculty in doctoral programs, where he teaches research method and chairs dissertations, and the author of 5 books including The 10 Immutable Laws of the Industrial Distribution Specialist. More on who runs this work.

Format and price

  • 35 lessons across 8 modules. Self paced, start whenever.
  • About 25 hours of work over 6 to 8 weeks. Most people run it slower than that, which is fine.
  • 395 dollars, one payment. No subscription.

The course runs on the Tolbert School, which is the teaching side of this practice. Same instructor, different platform, because a course needs a gradebook and a research site does not.

Questions buyers ask

Do I have to use AI?

No. Every lesson works by hand. If you do use AI, you learn to check it.

Do I need Claude?

Only for the review skill. If you do not use Claude, the one page guides in the kit do the same job by hand.

I do not write all 4 kinds of document.

You do not need to. You rewrite the 3 you actually write, and each of the 4 has a practice document if it is not one of yours.

My customer information is confidential.

You take out customer names, prices and drawings before you share anything, and Module 8 covers what stays out of AI tools your company has not approved.

What if I cannot reach the real reader?

Use someone in the same role who was not on the job, and note that you did.

Does the reader have to agree with my recommendation?

No. The reader test checks whether they understood what happened, what you asked and by when. A reader who understood and chose the other option still means the document worked.

Is this a certification?

No. You receive a Certificate of Completion from the Tolbert School when you finish every lesson and pass the final. It is not a professional certification and carries no CEUs or PDH.

How long does it take?

About 25 hours over 6 to 8 weeks, at your own pace.

What if it is not for me?
